Project Support Officer

Job Introduction

An exciting opportunity has arisen for a capable Project Support Officer to join the National Nuclear Laboratory (NNL) Quality Management function based at NNL’s Sellafield facility. The role will provide administrative support to the project delivery community, and will include responsibility for ‘document control’ activities;

The Quality Management function forms part of the Project Management Office (PMO) which is part of a wider Project Management Authority (PMA) responsible for all aspects of project delivery governance; controls; standards, and assurance across the full delivery lifecycle. The primary responsibilities of the PMO centre around the need to ensure that adequate controls are in place, embedded and being adhered to, to ensure that the delivery of NNL projects is achieved successfully, and in a safe and secure manner to the levels of quality expected.  Our Project Support capability is a vital part of the overall PMO and provides much-valued support Project Management community; allowing them, to focus on critical value-adding PM activities to ensure that projects are delivered to time, cost and quality.

The Project Support Officer role will be responsible for controlling programme / project costs, and work activities will include;

Project Support Activities;

·         General administrative support including meeting room bookings; managing visitor access arrangements and collections;

·         New starter inductions, and

·         Maintenance of the ‘training matrix’ for the local PMA team.

Document Control Activities;

·         ‘Icepac’ access- searching and retrieving documents for the team.

·         Responsible for the B170 Secure cabinet;

·         Quality checking of documentation;

·         Liaison with technical capabilities to manage closed out within the Projects time restrictions and deadlines, and

·         Transmittal and receipt of Communications /  Variations in support of SL specific Projects.

Role Responsibility

Project Support Activities;

  • Organising meetings and booking rooms, on and offsite for the project.
  • Raising IT requests for the project team Booking various Training courses with SL contractor Training/Gen2/Trainrite etc.
  • Arranging and submitting P4 passes, Temporary Worker Forms, Itinerant Passes, Film Badge Forms and liaising with Sellafield Pass Office and Site Wide Contractors.
  • Responsible for organising all inductions within B170 for contractors, NNL/SL staff and regular visitors. All paperwork in place and escorts informed.
  • Team Training- Training Matrix. Taken on the responsibility of team training records and to keep an up to date training matrix to ensure all staff are SQEP to undertake their role.

Document Control Activities;

  • Updating and maintaining in house trackers to ensure traceability and effective close out of documents.
  • Icepac access- searching and retrieving documents for the team.
  • Responsible for the B170 Secure cabinet: This has included extensive Security Training with the head of NNL Security, the logging of all sensitive material within B170 and regular audits to ensure we are complying ONR’s regulations.
  • The document control services for multiple projects within B170 including; Phase 2, GNVW, RAP, FIB, B13 (Red Extract, Wharton Hoist, Cave 6 and Cave 13) and Phase 3.
  • Responsible for receiving, distributing, transmitting and filing documentation relating to the above projects. As well as carrying out quality checks on all documentation that passes through our Document Control system.
  • Liaising with Design Engineers/ Document Control and Commissioning Management to ensure documentation is closed out within the Projects time restrictions and deadlines.
  • Transmittal and receipt of Communications / Variations in support of SL specific Projects

The Ideal Candidate

  •  Ability to work and think clearly under pressure.
  • General IT skills and ability to use Microsoft Office tools & systems.
  • Good communication skills and confidence to engage others as required
  • Some knowledge of Document Control systems, processes and methodologies
