Procurement Data Analyst

Job Introduction

The post holder will be responsible for producing accurate and timely Procurement & Commercial Management Information, derived from multiple sources, for use both internally (e.g. production of spend analytics for use by the team and/or performance reports) and externally (e.g. commissioned information from BEIS and/or customers). The post holder will also take responsibility for ensuring that internal and external communication channels, e.g. Nucleus and the Suppliers section of the NNL website is kept up to date with accurate information.

The location for this role can be flexible across the NNL sites.

Role Responsibility

The main responsibilities for the Procurement Data Analyst will be:

  • Production of accurate monthly, quarterly, and ad-hoc reporting on category spending, team performance etc, working on own initiative to validate the data and working to deadlines set.
  • Produce and validate Management Information for submission to BEIS and/or the Cabinet Office on procurement activity including, but not limited to, Contract Register & Procurement pipeline; spend with Small Medium Enterprises and compliance with the UK Government Prompt Payment Policy.
  • Maintaining the Commercial, Procurement & Legal Nucleus pages (SharePoint based) to ensure that the information contained within the pages is kept up-to-date, relevant and available when required by the wider NNL. TheOfficial (when complete) Page 3 of 5 Official (when complete) IMS-F-RRF v5 post holder will have the authority to design the Nucleus pages within the guidelines set out by the Technology & Digital Change and Communications teams.
  • Support the Procurement, Commercial & Legal teams in undertaking 2nd Line Assurance compliance checks against existing processes, raising Behavioural Based or Task Observations, where appropriate, with findings and recommendations, contributing to Learning from Experience sessions.
  • Review existing data sources and standard reports and identify where reporting can be improved, e.g. through the implementation of a suite of standard reports or merging information sources and assist in the implementation of approved improvements.
  • Maintain accurate internal data sources, such as the Workload Planner, Service Level Agreement database and Contract Register, ensuring others have undertaken the work required to keep the data accurate and up to date prior to reporting cycles.
  • Maintain the Suppliers section of the NNL website to ensure that the most up-to-date and relevant information for the supply chain is available at all times.
  • Assist with mapping of processes in as-is and to-be states, working across functions where applicable to simplify and standardise processes and procedures.
  • Assist with the production of Service Level Agreements, including identifying areas where costs have increased and benchmarking and/or market testing may be appropriate, checking and approving associated purchase orders, ensuring that appropriate approvals have been sought and filed for audit purposes.
  • Provide support to the Procurement & Supply Chain Management Team in updating, cross referencing and uploading documents to the Management System.

The Ideal Candidate

Essential skills for the Procurement Data Analyst:

  • Able to gather data from multiple sources, analyse and produce a range of report types, including PowerPoint dashboards, pivot tables, macro enabled spreadsheets etc.
  • Good communications skills – verbal and written.
  • Word – Production of accurate reports including analysis/commentary
  • Excel - advanced
  • Sharepoint editing.
  • Experience in a similar role.
  • Identifies and liaises with internal stakeholders, engaging senior stakeholders in support of obtaining approvals.
  • Organised and can plan their own workload to achieve targets.

Desirable skills for the Procurement Data Analyst:

  • Procurement experience
  • Visio – production of process flow diagrams
  • Microsoft Project – Project Plans
  • Business World – working knowledge of Business World (Agresso)
