Personal Assistant (Part Time)

Job Introduction

To provide an efficient and responsive administrative, organisational service to the Business Executive Team.  You will be responsible for providing full secretarial assistance, ensuring a high level of service is maintained at all times.  You will be able to demonstrate the ability to effectively plan and organise your workload and have the initiative to resolve issues quickly in an appropriate manner.  All with the upmost integrity.

This is a part time role and we are happy to discuss flexible working arrangements.

Role Responsibility

  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Day-to-day diary and email management, with thoughtful planning and supporting correspondence.
  • Document preparation.
  • Managing databases and filing systems.
  • Liaising with staff, suppliers and clients.
  • Collating and filing expenses.
  • Conducting research on behalf of the manager.
  • Communicate with internal & external customers in a professional & confident manner.
  • Coordinate travel & accommodation requirements plus related expenses.
  • Organise internal and external meetings ensuring all customer requirements are met to exceptional standards.
  • Provide personal assistance on specific tasks as and when required.

The Ideal Candidate

Essential Skills/Qualifications:

  • Proficient IT skills – Word, Excel, PowerPoint, Email, Internet use.
  • Excellent planning and organisational skills with a disciplined approach and attention to detail.
  • Proactive approach to diary management including thinking ahead, back up information to maximise Directors’ efficiency & effectiveness.
  • Self-confidence.
  • Excellent communication and influencing skills.
  • Good networking skills and confidentiality.
  • Ability to work unsupervised and able to adapt to unexpected circumstances to meet demanding goals.
  • Proven ability to work under pressure and to tight deadlines.
  • Detail orientated 
  • Ecellent multi-tasker 
  • Previous experience as a senior secretary.
  • Minimum 5 GCSEs or equivalent including Maths and English.
