Personal Assistant

Job Introduction

An exciting opportunity has arisen for an enthusiastic and professional personal assistant to join our business.  You will be responsible for providing full secretarial assistance to at least two members of the Executive team, ensuring a high level of service is maintained at all times.  Planning and prioritising will be one of your key strengths along with the confidence to use your initiative to resolve issues quickly in an appropriate manner, all with the upmost integrity. 

The role will require flexibility and as a personal assistant, you must provide a service from 10am until 3pm (25 hours per week) Monday to Friday but be prepared to work beyond these hours to meet the demands of the role.  You will also be required to work additional hours to support the PA team in providing cover for holidays and sickness etc.

Role Responsibility

  • Day-to-day diary and email management, with thoughtful planning and supporting correspondence.
  • Communicate with internal & external customers in a professional & confident manner.
  • Document preparation. 
  • Coordinate travel & accommodation requirements plus related expenses.
  • Organise internal and external meetings ensuring all customer requirements are met to exceptional standards.
  • Provide personal assistance on specific tasks as and when required.

The Ideal Candidate

Essential Experience/Qualifications

  • Experience as a Senior Personal or Executive Assistant is essential
  • Excellent planning and organisational skills with a disciplined approach and attention to detail
  • Proficient IT skills – Word, Excel, Powerpoint, Outlook
  • Excellent communication and influencing skills
  • Self-confident with an adaptable and flexible approach
  • Able to work unsupervised and able to adapt to unexpected circumstances to meet demanding goals
  • Able to assimilate numerical and written information quickly and accurately, extracting key messages
  • High levels of resilience, drive and energy, self-motivation and integrity.
  • An ability to develop and maintain effective working relationship with people at senior levels within the organisation and its external stakeholders
  • Proven ability to work under pressure and to tight deadlines
