Job Description

Business administration and support is required to support the Nuclear Innovation and Research Office (NIRO) in delivering its role for the Department of Business Energy and industrial Strategy (BEIS). 

NIRO is an independent arm of NNL and its role is to provide independent technical advice and guidance to Government across a range of nuclear and energy-related activities. Our purpose is to enhance the deployment of a safe, secure, sustainable, socially acceptable, economic and reliable civil nuclear life cycle through high quality, informed and independent advice to Government.  We do this through building strong relationships with Government, Industry, Regulators and Academia and represent the interests of Government nationally and internationally, as required.

NIRO is seeking to appoint a secondee to deliver accurate and comprehensive back-office support ensuring the highest levels of administrative efficiency, undertaking a wide variety of duties to support NIRO's work in advising BEIS and managing the Nuclear Innovation and Research Advisory Board (NIRAB). Flexibility is required to cover our office-based and hybrid work across multiple sites.

This secondment opportunity is for a 24 month period and can be based in Risley or London.

Role Responsibility

Main Responsibilities for Business Support Lead (Secondment):

  • Accountable to the Director of NIRO for providing administrative support to NIRO team members enabling the team to operate from the Chadwick House Office and virtually with an emphasis on enabling IT and facilitating effective communication.  
  • Specific Accountabilities include:
    • Information Management System Administration – provide overall oversight of the document control and management, delivering guidance to colleagues and acting on issues regarding operational documentation.
    • Procurement Administration: responsible for ordering goods and account reconciliation of company credit card.
    • Secretariat support: Organise meetings, take minutes, distribution of meeting documents.
    • Act as communications liaison between leadership and secondees by formatting and disseminating communications including weekly, monthly, and quarterly reports.
    • Act as IT Coordinator for group shared access and communication tools.
    • Travel Administration: Arrange visits and meetings including processing necessary paperwork, arranging PPE, film badges and passes etc, book venues and ensure sufficient provision of IT, food and refreshments etc. 
    • Responsible for the arrangement of travel bookings: air, rail, taxi and car hire requests, hotel bookings, conference facility bookings etc.
  • General Administrative duties to include but not limited to:
    • developing spreadsheets, writing documents, processing information, managing sharepoint site, minute taking, updating notice boards, arranging inductions, including issue and control of visitor passes and providing overarching support to NIRO team.

The Ideal Candidate

Essential Criteria for Business Support Lead (Secondment):

  • Highly organised and able to deliver work within set timescales.
  • Ability to communicate with a wide range of stakeholders.
  • Self-motivated to deliver excellent service to customers.
  • Strong communicator with good interpersonal skills.
  • Proactive.
  • Proficient in all MS office applications including Sharepoint.
  • Willing to work flexibly and as a member of a team.
  • Ability to obtain BPSS level security clearance (this includes but is not limited to identity, employment and criminal record checks).

Desirable Criteria for Business Support Lead (Secondment):

  • Knowledge of nuclear or another regulatory sector would be desirable but not essential.
